Quality Management Terminology Made Simple (A Practical Guide for Engineers & Students)

When I first started working in industrial projects, one thing that confused me the most was quality management terminology.

Everyone in meetings kept saying things like:

  • “Is this within tolerance?”

  • “We need CAPA on this”

  • “Where is the NCR raised?”

And honestly, at that time I was thinking:
👉 “Yeh sab terms ka actual meaning kya hai?” (what do these terms actually mean?)

If you’re a student, engineer, or working in a plant, understanding quality management terminology is very important. Because in industries like steel, cement, manufacturing, and power plants, quality is everything.

So in this article, I’ll explain all the important quality terms in simple words, with real-life examples.

🔑 Basic Quality Management Terminology

Let’s start with the most commonly used terms.

🧪 1. Quality Control (QC)

Definition:
Process of checking product quality by inspection and testing.

👉 Example: Steel plate thickness measure karna with micrometer.

“Final product ko check karna ki woh standard ke andar hai ya nahi.”

🛡️ 2. Quality Assurance (QA)

Definition:
Systematic process to prevent defects before they occur.

👉 Example: Proper SOP, process control, training of operators.

“Problem hone se pehle system set karna.”

🎯 3. Total Quality Management (TQM)

Definition:
Company-wide effort to improve quality continuously.

👉 Example: All departments (production, maintenance, purchase) working for quality.

📏 4. Specification

Definition:
Document defining required standards.

👉 Example: Plate thickness = 20 mm ± 0.5 mm

📐 5. Tolerance

Definition:
Allowable variation in measurement.

👉 Example: 20 mm ± 0.5 mm

“Kitna variation allowed hai.”

❌ 6. Non-Conformance (NC)

Definition:
When product does not meet required specification.

👉 Example: Plate thickness 18 mm instead of 20 mm.

📝 7. NCR (Non-Conformance Report)

Definition:
Formal document raised for defective product.

👉 Example: Inspection team raises NCR for out-of-spec material.

🔁 8. CAPA (Corrective and Preventive Action)

Definition:

  • Corrective Action → Fix existing problem

  • Preventive Action → Avoid future problem

🔍 9. Inspection

Checking product quality using measuring tools.

Types:

  • Incoming Inspection

  • In-process Inspection

  • Final Inspection

🧾 10. Audit

Systematic review of process or system.

Types:

  • Internal Audit

  • External Audit

  • ISO Audit

📊 Advanced Quality Management Terms

📉 11. Root Cause Analysis (RCA)

Finding the actual reason of failure.

Tools used:

  • Fishbone Diagram

  • 5 Why Analysis

📈 12. Six Sigma

Method to reduce defects and variation.

👉 Target: 3.4 defects per million opportunities

🔄 13. PDCA Cycle (Plan-Do-Check-Act)

Continuous improvement cycle.

📊 14. KPI (Key Performance Indicator)

Quality performance indicators like:

  • Rejection rate

  • Rework %

  • Customer complaints

🧪 15. Calibration

Ensuring measuring instruments give accurate readings.

👉 Example: Calibrating vernier caliper.
